Who is this guide for?
If you are someone with access to more than three secondary mailboxes, or if you are simply trying to access secondary mailboxes via Webmail, then this guide is for you.
Supplemental context: When we grant you Full access to another mailbox, by default that mailbox automatically loads when you launch the Outlook desktop app. However, we don't recommend automatically loading more than three additional mailboxes. Instead, we can turn off that auto-load feature for the additional mailboxes, and you can still access those mailboxes via Webmail.
How to open another mailbox in Webmail
- In your webmail window, click on your profile icon at the top right, then click Open another mailbox.
- Type in the full email address of the mailbox you want to open (typically it will search through the Global Address List and you can select it when it shows up), then click Open.
- If you are accessing a terminated account's mailbox and having issues with the above, please edit this link and then go to it:
https://outlook.office.com/mail/[insert email address here]/inbox
And please note that for terminated accounts, you may need to add OLD before the @ symbol in the address. For example:
https://outlook.office.com/mail/JDoeOLD@YourOrgDomain.org/inbox

The mailbox should then open in a new tab window.
How to manually add another mailbox in the Outlook desktop app
Please note that this option may use additional computer resources and potentially cause undesirable technical issues.
- In Outlook, navigate to File > Account Settings > Account Settings
- Double-click on your email account
- Click More Settings
- Click on the Advanced tab, then click Add...
- Type in the email address of the desired mailbox address
- Click Apply
- Add more mailboxes as necessary by repeating steps 5-6
- Click OK
- If it freezes momentarily after this point, just let it think and get settled. It's likely processing all the new data from the other mailbox(es).
- Click Next, then Finish, then Close.
You should see the mailbox appear as a secondary, separate mailbox in addition to your regular inbox.
How to manually remove a mailbox from the Outlook desktop app
- In Outlook, navigate to File > Account Settings > Account Settings
- Double-click on your email account
- Click More Settings
- Click on the Advanced tab
- Select the mailbox you want to remove
- Click Remove
- Remove any other mailboxes you want to remove
- Click Apply, then OK, then Next, then Finish, then Close.
