Sharing videos with people inside your organization
See this guide from Microsoft, but please note: You'll want to adjust the meeting permissions first and then share the video - some of the steps in the Microsoft have changed as detailed below.
- The recording will appear in the meeting's chat history in Teams. Click the "..." and then select Share.
- A window will pop-up.
- If you want to make the recording available to everyone in your organization, go ahead and click Share - it will adjust the setting for you, then give you a link to share. (If you click "Stop sharing" it will update the permissions automatically to stop sharing with everyone in your organization. Meeting participants will still have access to the recording.)
- If you only want to make the recording available to specific people, click the "..." and then click Manage permissions in Microsoft Stream. It will open a new browser window where you can adjust video settings as desired, then click Apply.
- If you want to make the recording available to everyone in your organization, go ahead and click Share - it will adjust the setting for you, then give you a link to share. (If you click "Stop sharing" it will update the permissions automatically to stop sharing with everyone in your organization. Meeting participants will still have access to the recording.)
One additional way to share is directly from Stream. When you view the video, you can scroll down and click Share.
That will open a dialogue box with an option to copy the meeting link, send an email*, or embed the video.
*NOTE: If you send an email, you must set the appropriate permissions beforehand. For example, let's say you gave John permission to view the video, but not Kory. If you click Share, then choose to send an email to Kory, Kory will get an email, but they won't be able to view the video.
Sharing videos with people outside your organization
Due to your organization's security policies, you may not be able to share the video to anyone outside your organization, even if the Microsoft Teams default text says "anyone with the link" can view it. You can test this out by opening the link on a personal device where you are not signed into your work account.
If you want to share the link "with anyone" and the content of the video is NOT sensitive or confidential information and CAN instead be shared publicly, you can click Download video while you are editing the Microsoft Stream permissions, as detailed above.
That will download the video file. Then you have two options for uploading/sharing:
- More secure option: You can upload the video to your work account's OneDrive. Please see this guide on sharing files/folders in OneDrive. You may not have the option to share to "anyone with the link" but you can share with anyone whose email you have. That way, you can control who has access to your video.
- Less secure option: You can upload the video to a third party cloud sharing service outside of our control, such as Dropbox, Google Drive, or YouTube. Then you can share the link with anyone, though you will not have the same control over who has access to your video.
