When inviting Entra guests for file collaboration, there are a number of steps - some depend on the internal inviter doing something, others the external guest doing something. It's important to do those in the correct order, so in some cases steps for the internal inviter are also listed.
If the internal staff person who's sharing from SharePoint has never invited a "full" guest account before, please let the Helpdesk know so that we can assign your account any required special permissions.
Step 1: The internal user will need to navigate to Microsoft Entra Admin and send out an Entra guest invite. More details on how to do this are available in the internal-only guide.
Step 2: The external user should check their email to see if the invite came through. If they don't see it please have them check the junk folder.
The external user will then hit accept invitation.
The baseline experience with a temporary email account is to click send code and then copy and paste in the one time passcode that is emailed. Based on how your (external user) IT department's configured your IT policies, your experience may somewhat differ and if you have any questions you should ask your IT department for help:
And click Accept:
Step 3: The internal users can now share documents and folders with the invited external partner. More details on how to do this are available in an internal only guide.
Step 4: The external user will need to navigate to and open the shared document / location email. This exact sharing email is always the best practice way to re-access the shared resource be it a shared file or folder:
For the baseline experience with a temporary email account, after clicking Open, the SharePoint site opened. Again, based on the IT policies of the external user's IT dept., their experience may slightly different and if they have any questions they should ask their IT support team.
Then the external user will be given option to open an Office file like a Word doc in either the desktop app or web.
