Microsoft Teams rooms are set up with specific Teams-enabled equipment. You can book a room simply by adding it to your Outlook calendar invitation as a Location. To simply open a Teams meeting room calendar, see this guide here.
Note: Teams meeting rooms are compatible with Zoom. External organizers will need to invite the room's email address to their meetings.
In Outlook (recommended)
- Create a new Teams meeting in Outlook.
- In the new meeting window, click the Location button. A new window will open displaying a list of available Teams meeting rooms. Double-click the room you want to reserve (alternatively, you can click to select the room, then click Rooms at the bottom of the new window). Click OK when you are finished.
- After adding all desired attendees and rooms, you can navigate to the Scheduling Assistant tab to find blocks of time that work for everyone.
Once you send the invite, the Teams meeting room will be reserved for the duration of your meeting.
In Teams
When creating meetings within the Teams app, we generally only recommend creating Webinars or Live Events. Regular Teams meetings should be created in Outlook. When you create meetings in the Teams app, booking a Teams meeting room is just as easy.
- Create a new appointment in Teams.
- In the new appointment window, simply click into the location text box and the Room address book will show up. Once you click the address book name, it will display a list of available Teams meeting rooms. Click to select the room you want to reserve.
Once you send the invite, the Teams meeting room will be reserved for the duration of your meeting.
